Refund policy
EFFECTIVE: 14 OCTOBER 2026
AssessmentCloud does not hand back subscription payments after they are collected. We make three exceptions, described in section 2. Renewal can be switched off in your workspace at any moment, which stops all future billing.
1. Access for a billing period
Plans are paid up front in USD, per month or per year. The payment unlocks, for that period, the question banks, scoring models, benchmarks, reports and everything else listed for your tier on the pricing page. Nothing is priced per launched assessment, per invited candidate or per exported report. The full tier works from day one, and the cost is identical whether your team runs a dozen assessments that month or none at all.
Subscribing tells us to begin providing AssessmentCloud right away. Where a legal withdrawal or cooling-off right would otherwise exist, it ends when the service begins, and you accept that at checkout.
2. Three exceptions
- Charged twice. A billing error on our side collected the same period from you a second time.
- Card used without permission, with proof. Nobody on your side approved the payment, you write to us no later than 14 days after it, and both our account data and the payment operator's data confirm what happened. We go by the evidence, and we may ask you to show that you also informed the card issuer.
- Platform completely down. A fault we confirm on our end made AssessmentCloud impossible to use for a continuous stretch, you reported it as it was happening, and we were unable to restore it. Reports that took long to generate, one export that failed, partial faults and problems with your own network, browser or single sign-on configuration are not covered.
Each exception needs the records from section 6 to support it. The refund cannot be larger than the fee for the affected period, is paid back to the card that was charged, and is all that we owe for that matter. Receiving one refund does not mean a later request will succeed.
3. What we do not refund
- Your company changed priorities, the hiring or training project behind the purchase was dropped, or the tool is simply no longer needed.
- Only a few candidates completed an assessment, nothing was launched, or nobody logged into the workspace during a paid period.
- You disagree with a score, a benchmark comparison or a suggested next step. Results are diagnostic input, as section 2 of our Terms of Service explains.
- A renewal payment went through, even one that succeeded after a declined attempt.
- You took the plan to be a single purchase. Renewal is visible on the pricing page, at checkout, in the confirmation email and inside the workspace.
- The renewal date passed before you cancelled, or you cancelled soon after it.
- A capability you wanted is not on the pricing page, or a listed one works differently from your assumption.
- The tier or billing length you picked turned out not to fit.
- Time left in a period after cancelling. Billing is never pro-rated.
- Another person used your login, a colleague included.
4. Cancelling
Cancel from your workspace whenever you choose: the Card, invoices and cancellation button opens the secure billing portal, where you end the subscription; no email is required. Renewals stop from that moment. A payment that has already been made stays in place, the workspace remains open until the paid period ends, and a cancellation is not read as a refund request.
5. How renewals and card retries work
Until it is cancelled, the subscription starts a fresh period by itself. The fee for that period is due on its first day, when access to it begins. If your card is declined, the payment operator tries to collect the same unpaid invoice again over the next few days, which does not add a new charge. Cancelling while it is still unpaid prevents any later renewal, but the current period remains payable and is not returned once collected. To skip the next period, cancel before the renewal date displayed in your workspace.
6. Documentation on file
Your AssessmentCloud account comes with acceptance of the Terms of Service, which incorporate this page, and of the Privacy Policy. The checkout screen states the tier, the price, the term and automatic renewal before you pay, and the confirmation email states them again.
Per subscription we store the purchase timestamp, the tier and price displayed, your acceptance of the terms, the emails we sent and the workspace audit trail: sign-ins, assessments built and launched, candidate invitations sent and reports viewed or exported, each with its technical details. The payment operator separately records every payment with the country of the issuing bank, the origin of the transaction and the result of the 3D Secure check. Any claim that a charge was unauthorised is reviewed against this file.
7. Sending a request
Write to [email protected] from the email registered on your account, no more than 14 days after the charge, with the payment date, the amount and the exception from section 2 you rely on. We do not review late requests, requests from another address or requests sent through other channels. They are handled in order of arrival, with no fixed reply time, and a refusal is not reconsidered.
8. Chargebacks
If a charge looks wrong, email us before you go to your bank. A chargeback filed without that first message breaches our Terms of Service, the account is closed for good, and the file described in section 6 goes to the card issuer.
9. Earlier payments
Anything paid before 14 October 2026 is governed by the terms in force on the date of that payment.
