Medallia pricing and how much Medallia survey programs cost per record

Medallia does not print a price, but it does print the meter, and the meter tells you more about your bill than any directory estimate. Everything Medallia sells is priced on Experience Data Records in annual tiers. This page sets out exactly what Medallia states, how many records a typical employee survey program generates at 250 to 2,000 employees, and what to get in writing before the quote arrives.

DIRECT ANSWER

Medallia pricing is quote only. Medallia publishes no dollar figure anywhere on its pricing page. It prices customer and employee programs on one metric, the Experience Data Record, which it defines as all data associated with a discrete interaction, sold in annual tiers. Analytics, workflows, security features and unlimited users are included in that price, and Medallia says you are not charged separately per channel or per program. For an employee survey program, the record count grows with every completed response, so survey frequency drives the tier more than headcount does.

Go deeper: this dimension works alongside Qualtrics pricing and Qualtrics competitors, and the guides on medallia vs qualtrics and employee engagement software cost show the frameworks behind the scoring.

Medallia quotes every program on a record count, so the number to check on the order form is the tier, not a seat price.

Everything Medallia states about its pricing

Every row below was read on 14 October 2026 from medallia.com/pricing. The page publishes no dollar figure, so this table does not print one. Review directories show Medallia figures that disagree with each other by more than an order of magnitude, from a per-user monthly rate to five-figure annual entry points. None of them appears on a Medallia page and none binds your contract, so we have left them out.

Item What Medallia states What it means for a US buyer
Price No figure. The page directs you to contact Medallia to learn more about pricing You get a number only from a sales conversation, so bring your own volume forecast
Metric The Experience Data Record, all data associated with a discrete interaction Volume of completed feedback drives cost, not employee count or seats
Scope of the metric Applies to customer and employee data coming into Medallia Experience Cloud CX and EX programs share one meter and one contract
Packaging Priced in annual tiers You commit to a band of record volume for a year in advance
Users Unlimited users Manager and executive dashboards do not add cost
Analytics AI-powered analytics on all data at no extra cost Push back if text analytics appears as a separate line
Workflows and security Workflows, data security and self-service capabilities included These should not be sold as add-on modules on the order form
Channels and programs Not charged separately for each channel, no separate contracts for different experience programs Adding an email, SMS or web channel should not reopen the contract
Tier boundaries, overage, services Not published Ask for all three in writing before you compare quotes

Now the record counts, which are our arithmetic on a hypothetical program, assuming each completed survey is one record and a 70 percent response rate. Annual census plus four quarterly pulses: 250 employees, about 875 records a year; 500, about 1,750; 1,000, about 3,500; 2,000, about 7,000. Census plus monthly pulses: 250, about 2,275; 500, about 4,550; 1,000, about 9,100; 2,000, about 18,200. The same company lands in very different tiers depending on how often it listens. For a headcount meter to compare against, Microsoft lists Viva Glint at $2.00 per user a month, so 1,000 employees is $24,000 a year whatever the cadence (see Viva Glint pricing). For the full head-to-head with the other quote-only enterprise suite, read Medallia vs Qualtrics pricing, and for vendors that print a rate, see employee engagement survey pricing.

What you get

One meter covers customers and employees

Medallia states that its Experience Data Record pricing applies to customer and employee data coming into Medallia Experience Cloud. A company running a contact center survey, a website intercept and an annual engagement census buys all three on the same record count, not on three separate contracts. If your CX team already owns Medallia, adding an employee program is a tier conversation, not a new procurement.

Unlimited users, so seats are not the lever

Medallia lists Unlimited Users among what the record price includes. That matters for an HR rollout: giving every manager a dashboard does not add cost the way a per-seat analytics license would. The cost lever is the volume of feedback you collect, which is the opposite of how Lattice, 15Five or Viva Glint bill.

Analytics and workflows are bundled, in writing

The pricing page says all data is analyzed by Medallia's AI-powered analytics at no extra cost, and that workflows driven by those insights and self-service capabilities sit inside the record price. Hold the vendor to that sentence when an order form lists text analytics or action planning as separate line items.

Annual tiers mean you buy volume in advance

Medallia sells records in annual tiers. You commit to a band of volume for the year, so the real budgeting question is how many completed responses your program will produce in twelve months, and what happens on the day you cross the top of the band. Medallia does not publish the tier boundaries or overage terms.

Frequent listening raises the record count

On our reading of Medallia's definition, each completed survey is one discrete interaction and so one record. A 1,000-person company running a census plus four pulses at 70 percent response collects about 3,500 records a year. Move to monthly pulses and it is about 9,100. Headcount did not change, the tier probably did. That arithmetic is ours, not a Medallia figure.

What Medallia does not tell you

Medallia measures experience: how customers and employees feel about interactions. It does not score whether your processes are mature, your systems are digitally capable or your teams have the skills a strategy needs. If the open question is why the company underperforms, an engagement program will report the frustration and not its cause.

HOW IT WORKS

From setup to scored report

01

Write the survey calendar before the first call

List every survey you plan to run for a year: census, pulses, onboarding, exit, manager feedback, plus any customer programs. For each one, put the expected invitees and a realistic response rate. That forecast is the only input Medallia's meter needs, and having it in hand stops the vendor from sizing the tier for you.

02

Ask for the definition of one record, per survey type

Get in writing whether a partial response counts, whether a multi-page lifecycle survey is one record or several, and whether imported HRIS data such as job changes or terminations consumes records. The pricing page defines a record as all data associated with a discrete interaction. Your contract should say what a discrete interaction is for each of your programs.

03

Get the tier boundaries and the overage terms

Ask where your tier starts and ends, what the next tier costs, and what happens if a reorganization survey or an acquisition pushes you past the top in month eight. Ask whether unused records carry over. Usage-metered contracts tend to surprise buyers in year two, not in the first quote.

04

Price services on their own line

Medallia's page talks about the platform price only. Implementation, program design, integrations and success management are typically quoted separately on enterprise platforms. Ask for each one itemized, with the renewal uplift and notice window written next to the total, so you can compare the year-one cost against a published rival.

DIAGNOSTIC INPUT, NOT A CERTIFIED AUDIT.

AssessmentCloud scores tell you how ready you are and what to fix. They do not certify you against SOC 2, ISO 27001, or any legal framework, and we never claim they do. Only an accredited auditor can certify you. Run the diagnostic first, walk into the audit without surprises, and spend auditor hours on certification instead of discovery.

FAQ

Questions about medallia pricing

Medallia does not publish what it costs. Its pricing page names one metric, the Experience Data Record, sold in annual tiers, and sends you to sales for a figure. The price you are quoted depends on how many records your customer and employee programs generate in a year. Bring a written survey calendar to the first call so the tier is sized on your forecast, not the vendor's.

Medallia defines an Experience Data Record as all data associated with a discrete interaction between a company and a customer or employee. In an employee program, a completed survey response is the natural reading of one interaction. Ask Medallia to confirm in writing how partial responses, multi-page surveys and imported HR data are counted for your programs.

No. Medallia lists unlimited users as part of what the record price includes, so adding managers or executives to dashboards does not change the bill. The cost moves with the volume of experience data you collect. That is the main difference from per-seat vendors such as Lattice at $4 a seat a month for engagement or Viva Glint at $2.00 per user a month.

Annual. Medallia states that Experience Data Records are priced in annual tiers. You commit to a band of volume for the contract year. Ask what the next tier costs, whether unused records carry over, and what happens if a one-off survey such as a reorganization pulse pushes you over the top of your band mid-year.

No one can say from public information, because neither vendor publishes an enterprise rate. What differs is the meter. Qualtrics prices its Employee Experience suite on employee count, and Medallia prices on records. A program that surveys often tends to favor a headcount meter, while a large workforce surveyed once a year may fit a low record tier. Get both quotes against the same written forecast.

The pricing page says analytics, workflows, security and self-service are included in the record price, and that you are not charged per channel or per program. What it does not cover is services. Implementation, integrations, program design and success management are not mentioned on the page, so ask for each one itemized with the renewal uplift before you compare totals.

It fits best when customer experience is the main purchase and employee listening rides on the same platform, because one meter across both is easier to run than two contracts. A 200 to 500 person company that only needs employee surveys usually gets a clearer price from vendors that publish one, such as Viva Glint, Lattice, 15Five or Workleap.

Find out whether employee sentiment is really the problem. An engagement program reports how people feel, and the cause is often a process nobody owns, disconnected tools or a skills gap. A whole-company diagnostic scores culture, process maturity, digital maturity, skills and compliance readiness first, so the listening budget goes where the gap actually is.
